Gmail Emails with Violations Page

The Emails with Violations page provides a high-level overview on the status as well as statistics for emails that trigger policy violations in the sent folder. You can filer the statistics based on specific sender, recipient, email ID, and so on.

Tip

You can refresh the page by clicking the refresh icon beside the instance name of the app.

The Email with Violations page displays a table with the following fields:

  • Date Sent: Time when the email was sent.

  • From User: Email address of the user who sent the email.

  • #External Recipients: Number of external recipient(s) of the email.

  • Folder: Folder location of the email.

  • Policy Hits: The triggered API Data Protection policy due to the violation.

The Emails with Violations page allows you to search for specific email with filters. To use the search filters, click + Add Filter to apply one or more of these filters:

  • Date Sent: Find emails based on date ranges.

  • Sender: Find specific email senders.

  • Recipient: Find specific email recipients.

  • Email ID: Find specific users by email ID.

    You can also search for information by clicking the + sign to use these predefined filters:

  • Folder: Find emails based on the folder location. The folders location is Sent.

    Note

    When you delete a mail from the Sent folder, Gmail moves the mail to the Trash folder. However, in the API Data Protection dashboard, the mail item is displayed as part of the Sent and Trash folder.

  • Exposure: Find emails that are external, internal, and private.

  • DLP Profile: Find emails based on specific DLP profiles.

  • DLP Rule: Find emails based on specific DLP rules.

  • Violations in: The location of the violation in Gmail. The violation can be for a body or an attachment of an email.

The filters used determine the email data displayed in a table on the page. To view complete details about an email, click on a row to open the User Details summary.

The Emails with Violations page also allows you to export the contents of the table. Click Export to download a spreadsheet file. On the Export window, you can select the columns and rows, and type the name of the export file.
